In PowerSchool, student records show two types of grades: current and historical. Current grades are the grades students have in each of their teachers' PowerTeacher gradebooks. Historical grades are the final or permanent grades stored in PowerSchool—these are what you'll see on report cards and transcripts.
The grades in the gradebook When storing grades, we are copying from the gradebook to Historical Course Grades, and it can help to see them as they flow.
The store code reference lists some standard store codes and the credit parameters for storing. If your school opts to use alternative store codes, this document can serve as a reference for their corresponding equivalents.
Before you can store grades, be sure that you set up grade scales, final grades, and the current grade display.
Use this feature carefully, as storing grades impacts historical grades, which in turn affect various parts of PowerSchool—including, but not limited to, GPAs, transcripts, and graduation progress.
Best practice is to save your setup and results whenever you store grades. Create a folder and save both the setup page and results page each time you store grades. We recommend organizing your files like this:
Stored Grades

Navigate to Store Grades (School Management → Academics → Store Grades)
Enter the term in the Use this Final Grade/Reporting Term field (Example: Q1)
This is the term in the gradebook in which the student earned the grade.
Enter the final grade code in the Save with this Historical Store Code field (Example: Q1)
This is the term that will be stored with the grade.
Enter dates to store grades based on students' enrollment or dropped class dates.
If you leave the date-related fields blank, PowerSchool stores a grade for every enrollment record, including classes that students dropped during the term.
If you do not use at least one of these options, there will be two (2) stored grades per course for students who change teachers.
More details about the available options are on PowerSchool Community: Permanently Storing Grades - Excluding Enrollments By Enrollment Dates
If needed, select the parameters to store grades for any of the following options:
○ A selection of students
You can use this option with any group of students. Make the students your current selection with searches on the start page, from the teacher's schedule page, the results of an sqlReport, etc.
Make your selection of students → Navigate to Store Grades → Check Store grades for currently selected (#) students only
○ A specfic course.section
If a teacher did not enter their grades on time, you can store just that section without altering the rest of your already stored grades by entering the course.section number in the field indicated. You can not enter a list of sections using this option.
○ Specific grade level/s
Using this option will include inactive students as well as active students. If you only want to include active students, select the grade level on the start page and use the filter option for a selection of students instead.
○ Specific student exit date
This option can be used to store grades for students who were withdrawn before the end of the term but completed the course work.
6. For each term, choose a store method.
○ Do not store - does not store any information for the parameters set.
○ Store with credit - Enter 100 in the % of course credit field.
Used only for credit bearing courses and when storing to F1. Only the F1 store code can be assigned earned credit. No other store code will display on the transcript.
○ Store with no credit - stores the grade but does not store earned credit hours. % of course credit is automatically populated with a 0, which cannot be updated.
If you need to store grades for a term that is not displayed, select Yes for Show all terms?
7. Make sure Store grades for classes enrolled at is set to All Schools (default)
8. Do not change the Record the school name of setting.
9. Click the checkbox and enter the parameters if you would like credit withheld if the student exceeded the maximum absences to meet seat time requirements.
(1) Select the checkbox for this section to enable the process
(2) Enter the number of attendance points that will be the threshold for a failure due to absences
Block classes may have double attendance points because the class spans two (2) periods.
(3) Enter the first day of the term
(4) Enter the last day of the term
(5) Enter FA as the grade that will be stored (the original grade information will be saved in the comment)
(6) Enter 0.0 as the GPA points that will be stored (the original GPA points information will be saved in the comment)
(7) Enter the comment text that will be saved for all FAs stored
Feel free to reach out to the PowerSchoolSupport@sccharter.org for assistance setting up this section.
10. Save the setup by printing the page to pdf and saving it in a file for the current year.
This is critical for investigating and troubleshooting if grades do not store as expected.
11. Click Submit
12. Save the results by printing the page to PDF and saving it in the same file where you saved the setup.
The Store Grades process needs to be run several times with different terms and store codes at the end of certain grading periods. For example, at the end of Q2, you'll want to store grades for Q2, S1, and F1 if your school offers credit bearing courses. In that scenario, you will set up and submit three (3) separate times.
You can use the Storing Grades Checklist reference to keep track of the terms that need to be stored for each grading period.
The gradebook is not perpetually connected to Historical Course Grades. If a grade needs to be changed after grades are stored, the grades need to be manually updated on the student's Historical Course Grades page.
Navigate to the student's Historical Course Grades page (Academics → Historical Course Grades)
Click on the grade that you want to edit.
Enter the updated grade in the Grade field.
Enter the updated value in the GPA points field.
Enter the updated value in the Percent field.
Enter the updated value in the Earned credit hours field if credit was awarded for the store code.
Click Submit
Historical Course Grades values are not automatically calculated. If you change a quarter grade for a student that will affect their semester grade and/or yearlong grade, you need to manually update those as well.
Example: If Q1, Q2, and S1 have been stored and the grade for Q2 needs to be changed, you will need to change the Q2 and S1 grades.
