Find Students Who Need To Be Coded As Truant

For An Entire School

Data & Reporting → Reports → Compliance Reports → SC43 Truancy List

This report can be filtered by date range and you can make the students in the result your current selection for easy truancy incident coding.

Data & Reporting → Reports → Compliance Reports → SC41 Truancy School Detail Report

This report will organize the student by the number of unexcused absences.

For An Individual Student

Select a student → State/Province - SC → Truancy

The Truancy Indicator will display a "Yes" or "No" to indicate if the student is truant by SCDE standards.

Code A Student 151 Truant

From the Start Page...

Make your student selection.
This task can only be completed for one student at a time.
Click on Behavior → Incidents
Click on Create Quick Incident
Depending upon your most recent selection, Quick Incident may display; however, if Quick Incident is not the current option, click the dropdown.
Click on Incident Template
Click on Truancy Template
Many fields will auto-populate based upon the SCDE requirements when using this template.
Enter the date the student's truancy began.
The Incident Date defaults to the date you are entering the incident. Click on Incident Date and update to reflect the date that the student's truancy began. You may update the Incident Title and Description as needed.
Choose Proceed
Click on Next
Enter the Begin Date
The date the student met the criteria to be considered truant.
Once you click Next, a new page will display. Many fields will be auto-populated for truancy (Initial - 151 Truancy). You will need to enter the Begin Date - the date the student met the criteria to be considered Truant.
Enter the End Date
This should be the last day of the school year.
Enter the Action Resolution Date
When the issue was resolved (when did you do the Intervention Plan and make contact with the parent).
Click on Save
Review the incident.
Note that the Incident Type, Time Frame, Sub-Time Frame, Title, Description, Location were pre-populated as a part of the truancy template.
By using the template, the placement of the behavior and action (drag and drop) are automatically associated as required by SCDE.
Click on Submit Incident

Code A Student 152 Truant

From the start page...

Search for and select the student
Click on Behavior
Click on Incidents
Click on the truancy incident previously entered
Click on the green plus sign in the Incident Element section
Select Add Behavior
Select 152 Habitual Truant^ from Behavior Code
Click on Add Behavior
Click on the green plus sign in the Incident Element section again
Click on Add Action
Select the appropriate Action Code from the list
Enter the Action Date Range Begin Date
*DO NOT ENTER AN END DATE*
Enter the last day of the school year as the Actual Resolution Date
Select ^Truancy - Remainder of School Year^ from Duration Code
Click on Add Action
Drag and drop the Behavior for [2] 152 Habitual Truant^ onto the student's name in the Offender section.
The Behavior should appear under the existing behavior and action items.
Drag and drop the Action onto [2] 152 Habitual Truant^ in the Offenders section
The Action should appear under and to the right of [2] Habitual Truant^
Check that the behavior and action items are placed correctly.
Click on Submit Incident

Search For Students Coded As Truant

From the Start Page...

Click on People
Click on Students
Click on All Incidents
Select Incident Type in the Incident Element dropdown
Click on Truancy

If there aren't any students coded as truant, you will not see the Truancy option.

Resolving Errors - Level Data State Validation

Start Page → Data Validation → Attendance/Truancy

Check these reports for errors. Click on List for any with an error count to go directly to the incident(s) to correct the errors.

Tips for preventing errors:

Incident Type must be Truancy when Behavior Code is Truant, Habitual Truant or Chronic Truant
Students with a Truancy incident must have an Action Code of Intervention Plan or Withdrawal Prior to Intervention.
Truancy incidents must contain an Action Code and the Action Code must be placed on the Behavior Code.
Students must be at least 12 yrs old and less than 17 yrs old when a Habitual or Chronic Truant behavior is assigned.
Suspension is not to be counted as an unlawful absence for truancy purposes.
Truancy incidents must not have more than one Offender, but must have at least one.
